Function / Content

The Corporate Services Correspondence Files series is a continuation of the central hardcopy filing system for City of Melbourne correspondence that was used within the Town Clerk Files VPRS 3181 and 3183. Files contain registered correspondence, both incoming and outgoing, and often include plans, reports, images and other related documents.

Correspondence was allocated a file number according to the year in which it was first received and all subsequent correspondence relating to that matter was placed on the same file in chronological order. Often correspondence on a particular subject spanned multiple years.

By 1990, an electronic Records Management System was introduced which decentralised the filing for all correspondence.

How to use the records

To access these files, use the index located in VPRS 17049. This card index is divided into Subject, Proper Name and Street Name.

Recordkeeping system

The records are arranged by file number, using the annual single number system, e.g. 86/254. The prefix CS was used, which stands for 'Corporate Services'.

The documents within each file are placed in chronological order. File cover sheets were used to add notes and contextual information to the file.

As part of the recordkeeping system subject/proper name/street name card index was created, (located in VPRS 17049).
