PROV has drafted a new policy on Enterprise Mobility and Recordkeeping which will replace the existing Mobile Technologies Policy (issued in 2012).

The review of the Mobile Technologies Policy determined that an expanded focus was needed. The Enterprise Mobility and Recordkeeping Policy expands on remote working using mobile devices to include all forms of remote access.

The policy centres around lawful creation, capture, management of records (including creation, capture, retention and disposal) in accordance with the requirements of the Public Records Act 1973, regardless of the location, service or device used.

Where records are being accessed remotely, records management programs must address the challenges and complexities of the services, devices, apps and technologies used. Management must be done in accordance with the PROV Recordkeeping Standards, including retention and disposal authorities issued by PROV.

Public offices should apply its terms in line with the following PROV policies

  • Value and Risk Policy
  • Recordkeeping and Cloud Service Policy
  • Managing Records in Business Systems Policy; and
  • Data and Recordkeeping Policy.
